O time specifics

How exactly does this work?

Recently when i asked my ADR they just told me to record it on my 4240.

How do i know management is keeping track of it, and how am i supposed to prove what i have recorded of my own? I was under the impression they put it in the system as well but i'm almost certain that is not the case.

One of the more seasons supervisors passed around sheets one day to put into our edit books specifically for O time; but i cannot seem to find that sheet any longer and hadn't even known about those until that point.

I was also told by the ADR (if im remembering correctly) that O time can take years to accumulate into a full day, obviously depending on how often your vehicle breaks down. What i was pretty sure i'd heard in the past, though, is that it works strictly on a yearly basis - if you only have say, 40 minutes of O time, then at the end of the year it's supposed to get marked as a full O day regardless? Might be confusing this with something else but thought that was what i remembered reading more than once.
